Five Tips For A Successful And Stress Free Technology Rental
By Andy Wendt
1. Reserve your technology as early as possible.
We all know that a big component of stress is last minute planning. So do yourself a favor and don't put off that call to your Tech Travel Agent to get your quote and or reservation started. It's way easier than you think, so just do it! The sooner you book your event rental needs the sooner you can get onto your next project, even if that project is simply to get out of the office and get started on the weekend!
2. If you don't know exactly what type of hardware you need, ask, don't guess.
Not being technically savvy does not need to cause you stress. Simply explain your project to your Tech Travel Agent and let them suggest, or investigate further, to determine the most cost effective rental hardware solution for your event. Communication really does matter, so tell your story and don't hesitate
to ask for advice. It's what a Tech Travel Agent does, so let them.
3. Plan to have your order set up and tested at least two days in advance.
No instructor wants to walk into a classroom full of employees and start off the class by asking.. Does everyone have shortcut to our new HR software on their desktop? So whenever the situation permits, have your equipment delivered at least two days in advance to allow your staff, or instructors, time to familiarize themselves with the equipment, to make sure everything is in working order, and make any "last minute" adjustments way in advance of the event start date.

4. If you have a large quantity order, ask about the policy for spare equipment.
When placing a larger order for any technology, ask about having one or more spare systems left onsite in case of an emergency. Let's face it, bad things can happen to good people. Know that and ask what your Tech Travel Agent can do to help by adding in some spares.
5. Only trust your technology rental to an established national firm.
Finally, and perhaps most importantly, knowing the technology for your event is being delivered and set up by a trusted national rental firm is invaluable when it comes to eliminating stress! So when you talk to your Tech Travel Agent ask if they do business nationwide. Ask if your equipment will be delivered and serviced locally. Trust your gut when it comes to the basics, such as: Does their website look like something your 15 year old nephew would design? (No offense to 15 year olds) When you call do you always get a real person or just a voice mail? Is the quote itemized with a detailed description of each product so you know exactly what you are paying for? Does the rental firm you’re considering have an established social presence with the number of followers/fans you imagine a national firm would have? Do their social sites have continuous updates stretching back years? In general, remember "If it looks like a duck, quacks like a duck and walks like a duck, it's a duck". Since we all know doing business with ducks is stressful.. just don't do it! You deserve the best service and support on your technology rental so be sure you trust a technology rental provider before you reserve your equipment!
